For Outlook · Windows, macOS, Linux · Local AI

Every task in your email, found and followed to the end.

Mandata reads your Outlook threads with an AI that runs on your own laptop. It lists who asked whom to do what and by when, and closes each task when the email that settles it arrives. Nobody types tasks in by hand.

For Windows, macOS and Linux. Installs for your user account only: no admin rights, and no mail leaves the computer.

Could you send me the revised workplan for the joint programme by Thursday 16 October? I need it before the steering meeting.

The life of a task

From the email that asks to the email that answers

Each new email in a thread reads the whole thread again, so tasks open, move and close as the conversation goes on.

  1. An email asks

Mandata reads Inbox and Sent Items, plus the rest of each conversation filed in other folders. The first run covers the last 30 days.

  2. A task is opened

Who asked, who does it, what, and a deadline only when an email sets one. It is never guessed from "urgent" or a meeting date.

  3. It is followed

Draft a follow-up or forward it to a colleague in the same thread. Replies there move the task on by themselves.

  4. An email closes it

When a reply delivers or cancels the work, the task closes and links to that email. You can always reopen or correct it.

What it does

One place for everything your inbox has handed you

Tasks in four kinds

Assigned to you, among others, asked by you, and between others. Grouped by urgency, filtered by person, priority or deadline, as cards, a table or a board.

Follow-ups and forwards

The AI drafts a reminder or a forward in the task's own thread, attachments included. You review it and press Send. Nothing is ever sent on its own.

Ask Mandata

Ask in plain words: "Who am I waiting on?" or "What is overdue this week?" Answers cite the tasks, people and emails they come from.

People profiles

Everyone in your threads gets a profile: title, unit, what they ask of others and what they are asked to do. Fields you edit are never overwritten.

Weekly reports

The story of each week, written from your tasks: what came in, what closed and what is next. Exported as a PDF.

Learns from corrections

Fix a title, a deadline or mark "Not a task", and Mandata turns it into a general lesson so the same mistake is not made in another thread.

Rules it follows

Built for mail you cannot send to the cloud

The AI is Ollama, running on your laptop. On Windows, Mandata talks to classic Outlook directly; on macOS and Linux it reads your Microsoft 365 mailbox after you sign in once. It keeps its data in one file in your home folder.

Email stays on this computer

No cloud AI, no telemetry, no Mandata account. Your data is one SQLite file in .mandata in your home folder.

Nothing is sent without you

Email goes out only when you press Send and confirm. The app drafts; you decide.

No invented deadlines

A task gets a deadline only when an email states it, quoted from the thread, or when you set one.

Deleted is recoverable

Deleted tasks wait in a recycle bin for 30 days. Backups can be exported to OneDrive or a USB stick and imported on another laptop.

Install it in about two minutes

On Windows, download the zip and double-click install.bat. On macOS and Linux, paste one command in a terminal. Each fetches what is missing, adds the app to your menu, and offers to set up the local AI.
