Mandata on your phone

Your tasks, deadlines, people and Ask Mandata, in your pocket. Close a task, set a deadline, or send a follow-up you have read first. The phone reaches Mandata on your computer over the Wi-Fi: your mail and the AI stay on the computer.

Scan the QR code on your computer

One way for every phone: the QR code in Mandata on your computer pairs the phone and installs the app.

  1. On your computer, open Mandata, Settings > Phone, and switch phone access on.
  2. Scan the QR code it shows with the phone's camera. Mandata opens on the phone, paired.
  3. Install it from there. On Android, tap Install the app, open the downloaded file and tap Install (the first time, Android asks to allow installs from your browser: Settings, turn on Allow from this source, go back). On iPhone, tap Share and Add to Home Screen.

Once the app is installed, the QR code opens straight in it.

How it works

The computer does the work

Mandata reads your mail with an AI on your computer. The phone shows what it found and sends back what you change: nothing goes through a server of ours, or anyone else's.

  1. Mandata runs on your computer

As it does now: it reads Outlook or Microsoft 365, finds the tasks and keeps the profiles. Install it first if you have not.

  2. Phone access is on

Off until you switch it on in Settings > Phone. Then Mandata also answers on the Wi-Fi, to paired phones only.

  3. The phone is paired once

With the QR code in Settings > Phone, or the 8-letter code under it. Each phone gets a key of its own; sign any of them out in Settings > Phone.

What you can do

HomeWhat is overdue, due soon, pinned and new, and the latest news on your tasks.
TasksEvery task by kind (to me, among others, I asked, between others), open or closed, with search. Close one as done in a tap, reopen it, pin it, set its deadline, or close it as delegated, parked or not a task.
Follow-upsThe AI on your computer drafts the email in the task's own thread; you read it, change it, and send it only when you confirm.
Ask MandataAsk about your tasks, deadlines, threads and people. The answer streams in and cites its sources.
People and mailEveryone you work with, their profile and tasks, and every email of a thread.
NotificationsThe Android app shows what Mandata shows on your computer's desktop: a new task, the day's deadlines. It shows them within about 30 seconds while the phone is on the computer's network (Android keeps a small silent notification, "Watching for new tasks", while it watches).
UpdatesThe Android app updates itself when a new version is published here: it downloads and checks it, and Android asks you once to allow it, then for a tap to install (from Android 12, often not even that). The phone version in the browser and on iPhone comes from your computer, so it updates with Mandata there.
OfflineAway from the computer's Wi-Fi, Mandata keeps working with what is on the phone: tasks, their emails and history, people. What you change (close, reopen, pin, deadlines, drafts) waits on the phone and goes to the computer once it is back. New mail, Ask Mandata, follow-up drafts and sending wait for the computer. The Android app opens offline; in a browser, keep the page open.
Not on the phoneSettings, the AI, backups and updates: those stay on the computer.

Questions

The phone cannot reach the computer

Both must be on the same Wi-Fi, and Mandata must be running with phone access on. The first time it is switched on, Windows asks whether Mandata may use the network: allow it on private networks. If you missed it, allow Mandata in Windows Security > Firewall > Allow an app through firewall.

It works at home but not at the office

Office and public Wi-Fi often stop devices on it from reaching each other. Use your home Wi-Fi, or a private network such as Tailscale on both the computer and the phone: Settings > Phone then offers its address for the QR code.

Can the iPhone camera open Mandata from its Home Screen icon?

No: the iPhone opens every QR code link in Safari, and only App Store apps can take them over. Pair once from Safari, then open Mandata from the Home Screen. If the Home Screen app asks to pair again, type the 8-letter code shown in Settings > Phone.

The address changed and the phone lost the computer

Routers sometimes give the computer a new address. Scan the QR code in Settings > Phone again. Your router can also keep the same address for the computer.

Is my mail sent anywhere?

Only between your computer and your phone, on your own network. Nothing goes to a server of ours or of anyone else. On the network the connection is not encrypted, so use networks you trust, as you would for a shared folder.

Android will not install the app

Allow your browser to install apps: Settings > Apps > Special app access > Install unknown apps, choose the browser, turn on Allow from this source. Then open the downloaded file again. Some work phones do not allow apps from outside their store at all; use Mandata in Chrome instead (scan the QR code in Settings > Phone, then Chrome's menu > Add to Home screen).

Why is it not in the App Store or Google Play?

Mandata is published by Aladdin Shamoug, outside the stores. On iPhone, the Home Screen app from Safari works without a store; on Android, the app installs from this page.

How do I remove it?

On the phone, More > Sign out this phone, then remove the app as any other. On the computer, sign it out or switch phone access off in Settings > Phone.
